How to Set Closing Date Password in QuickBooks
QuickBooks does have plenty of features and one of them is the facility to set the closing date for the financial year or for a defined transaction period. 

What is the Closing Date? 

Closing date in QuickBooks means the date on which your books have been treated as closed for the financial year. This means the user has taken care of all adjustment entries and has reviewed all of them. It is also understood that reporting to tax authorities and to investors has been completed. 

Function

The function of setting a closing date in QuickBooks is to protect the date and to prevent any subsequent modifications. You can make any such modifications if you like but not unwittingly. The closing date, in effect, restricts access and you can set a closing date password. 

How to Set Closing Date Password in QuickBooks



Approach 1
You can follow this approach to set closing date password

  • First of all, you launch QuickBooks and then click on Accounting in the Edit Preferences menu.
  • Next, you choose Company Preferences tab and click on it.
  • You will see the closing date displayed on the screen if you have set it.
  • You will also see on the screen a Set Date/Password button. Click on it.
  • A window opens in which you have the option to set the closing date and box in which you can enter the closing date password and another box to confirm the password. Write the password in the box and also in your notebook and then click on OK.

Approach 2
An alternative route is shown here to set closing date password.

  • Launch QuickBooks
  • Click on Company and then set closing date.
  • A window opens where you can enter the closing date and closing date password. 
Approach 3
A third way to set closing date password in QuickBooks is shown here.

  • Click on Company->set up users and passwords and then click on set up users.
  • Next click on closing date button.
  • This opens up the closing date and closing date password window where you enter the necessary details and click on OK button.

What Happens Next?

  • All transaction on and before the defined closing date is now protected. If you try to enter data then QuickBooks will display a warning and a window. The warning is displayed when you have not set a closing date password. If you have set a closing date password then a window to enter the closing date password opens.
  • Enter the closing date password in the window and click on OK and you can still record the transaction.

Please keep in mind that only the Administrator or a user with external accountant privileges can access preferences section in QuickBooks and set the closing date and the password. Other users simply cannot access this section or change closing date or password. It may also happen that access could be denied if an administrator tries logging in from another computer.
